The Set Chef - Terms & Conditions

Bookings & Confirmations

All bookings are considered provisional until confirmed in writing and the required deposit has been received. The Set Chef reserves the right to release any unconfirmed dates without notice.
 

Deposits

A non-refundable deposit may be required to secure production dates. Work will not be scheduled or guaranteed until the deposit has cleared.

Final Numbers 

Final confirmed crew numbers, dietary requirements, and service details must be provided no later than 48 hours prior to the first catering day unless otherwise agreed in writing.  Numbers confirmed at this point will be the minimum chargeable amount.


Cancellations

Cancellations must be made in writing.

Where cancellations occur:

  • More than 5 working days before service - deposit retained.
  • 2 to 5 working days before service - up to 50% of quoted total may be charged.
  • Less than 48 hours before service - up to 100% of quoted total may be charged.

This reflects preparation, staffing, purchasing, and scheduling costs already incurred.

Schedule Changes & Overtime 

Film and Television productions frequently run beyond scheduled hours. Additional service time, extended holding periods, or extra meal requirements may incur additional charges. These will be billed at the applicable production day rate or agreed overtime rate. 

Dietary Requirements & Allergies

The Set Chef will make every reasonable effort to accommodate dietary requirements and allergies when notified in advance. Clients are responsible for ensuring all requirements are communicated clearly prior to service. While strict food safety procedures are followed, we cannot guarantee an allergen-free preparation environment.

Access & Facilities

The client must ensure reasonable site access, parking, and safe operational space for catering vehicles, equipment and staff. We also require fresh potable water supply, sufficient waste bowser, and adequate power dependant on the vehicles used.Where access restrictions, delays or additional logistics apply, additional costs  may be charged.

Payment Terms

Unless otherwise agreed in writing, invoices are payable within the stated invoice period. Late payments may incur statutory interest and recovery costs in accordance with UK legislation.

Liability

The Set Chef shall not be liable for delays or failure to perform caused by events beyond reasonable control, including but not limited to severe weather, road closures, production schedule changes, equipment failure, or supplier disruption.

Acceptance

By confirming a booking, the client agrees to these Terms & Conditions
